Manually upload/replace artist images to submitted applications

IF BEFORE JURY VOTING GALLERIES ARE CREATED:

Replace or add images to the Gravity Forms upload folder on the server (via a browser)

BE CAREFUL HERE! Don’t delete or change any files or folders OUTSIDE of the “Uploads” folder. It could affect the integrity of the entire site!

  • Connect to the cPanel for our hosting account using the login info on the passwords document: https://gator3092.hostgator.com:2083/
  • Click on “File Manager” in the “Popular Links” menu.
  • Browse to this folder on the server: “/public_html/chula18/wp-content/uploads/gravity_forms/”
  • Find the current year’s folder that stores the application images (it will start with the form ID number, plus a random string of numbers at the end (ex. “/36-68a773a4a4f000e39653321eb6a3e04c/”. You can usually tell the correct folder by looking for the folder with the most recent creation/update date next to it in the file browser.
  • Within the current folder are subfolders with the month that the photos were uploaded. Find the correct month for the images you need to add/replace and enter the folder.
  • Make note of the file name that you need to swap out; you’ll need to rename your NEW file to this file name before you upload, so that your NEW file will overwrite the OLD file. The category and Artist ID numbers are the most important part of the file names, as they help to sort the files when you’re creating the Jury Galleries later. (Images that were missing in the artist download preview report will likely show up as having 0kb file size, which makes it easier to track them down here).
  • Upload your NEW file to the server using the “Uploads” link in the top menu; make sure to click the “Overwrite existing files” box which will save over the old file if replacing.
  • Bask in your success.

IF AFTER JURY VOTING GALLERIES ARE CREATED:

Add the images to the Gallery for Jury Review

  • go to Gallery : Add Gallery/Images
  • click “select files”, find the images to upload on your local machine and click open  (you may select several at once by holding the shift key as you select)
  • check “scale the images”
  • choose the appropriate gallery from the dropdown
  • rename your image before upload to match this format: “category-anonID-Image#.jpg” e.g. fine-art-caf15029-2.jpg
    (this will make it easier to locate the image on the server later should the need arise)
  • hit upload images
  • go to the gallery you just added photos to by clicking “Edit Gallery” at the top of the page in the confirmation message
  • find the image you just added. If it does not have the proper detailed information filled in, complete in the blanks (Anon ID and business name primarily).
    • Alt and Description should be the title of the image
    • there’s no need to add the business logo or featured image here
  • After you update the fields for the new photo, be sure to click “Save Changes” before leaving the page
  • You’ll need to rearrange the new photos to make them sit in a row with the other photos from the same artist (use the Artist ID field as your reference). You can use the “Sort Gallery” button in the gallery’s settings page to rearrange photos.

Attach the images to the artist’s entry

  • Upload the new images to the server via the “Media Library” section of WordPress. Make a note of the URL of each image you add.
  • go to Artists and search for the artist using the box at the upper right.
  • select the artist’s name to edit the entry
  • scroll down to “artist_upload1” in the Custom Fields section
  • paste the URL of the new/updated image (do the same for the second and third images)
  • scroll down to “select featured image” and click the link
    • if the featured image is the same as one of the three uploaded images, select it from the media library tab.
    • if the featured image is different from the three uploaded images, click the “upload files” tab, click select files, and upload the image
  • Click “Set Featured Image”
  • Scroll back to the top of the page and click “Save as Pending” if you’re still in the judging period.
