Artist Approval and Notification

Selection

To approve an artist:

  • go to Artists
  • Hover over the artist to be approved and select Quick Edit
  • Select the Booth Assignment. (Be sure to check the boxes under Booth Assignments, not Booth Preference)
  • Check Accepted under Acceptance Status
  • Leave status as pending (they’ll be made public after they pay)

 

To decline an artist:

  • go to Artists
  • Hover over the artist to be approved and select Quick Edit
  • Check Declined under Acceptance Status
  • Leave status as pending

 

Notification

To notify artists of acceptance:

  • Log into the server via FTP (or the Cpanel File Browser) and look for the .php file titled “page-email-accepted-artists.php”. It will be in the WordPress directory “/chula18/wp-content/themes/flatsome-child/”
  • Edit this file and look for the email content about halfway down that starts with “$headers = “From: artists@cherrywoodartfair.org”
  • Find the fair dates below this line of text and update them in the code.
  • Update any other text within the code in this section that you want to change, as it is the content of the email that will be sent.
  • Save the file and upload it back to the server if prompted.
  • When you are ready to send, go to https://chulaleague.org/cherrywood-art-fair/preview-accepted-artists/ to preview the artists that are on the list to email.

When ready, click the “Email Accepted Artists” button at the bottom of the page. YOU CANNOT UNDO!!!! BE VERY SURE THAT YOU WANT TO SEND THE EMAILS OUT TO THE PEOPLE IN THE LIST.

To notify artists that they have not been accepted:

  • Generated a list of email addresses, names, and other contact info from the final list of DECLINED artists
  • Log into Mailchimp and create a NEW LIST of the current year’s declined artists, importing the information from your final declined artist report.
  • Duplicate the Campaign from the previous year that went out to declined artists, and change any applicable dates/fair info, then send to the new list of Declined Artists.
